1. What personal data do we process?
Printforce processes—or may process—your personal data if you use our services, work for one of our suppliers, visit our website, apply for a job with us, or otherwise provide your personal data to us. We process the following categories of personal data of customers, suppliers, and visitors to our premises, to the extent that this information has been provided to us:

  • Name and address details, as provided (e.g., first and last name, address)
  • Other contact details, as provided (e.g., email address, phone number)
  • Payment details and other data needed for placing an order, as provided
  • Personal data shared in correspondence and/or during telephone contact
  • Data required for calculating and recording fees and expenses, making payments, and collecting receivables, including bank account numbers as provided

For job applicants, we may process the following:

  • Name and address details
  • Other contact details (e.g., phone number, email address)
  • Nationality and date of birth, as provided
  • Availability, CV, employment history, educational background (copies of diplomas, certificates, testimonials), and cover letter, as provided
  • References, information related to the position applied for, interview notes, written communication, and where relevant: assessment results

We only process your personal data if we have a legal basis for doing so:

Printforce uses your personal data for the following purposes:

  • Delivering the requested services and products
  • Financial administration
  • Handling complaints and disputes to improve our products and services

  • Providing website access, improving and securing our sites, showing them in your chosen language, and maintaining usage statistics

3. How long do we keep your data?
We do not keep your personal data longer than necessary. For orders/contracts, we keep data for the duration of the agreement and then for 7 years for financial administration. Job application data is kept for four weeks after the procedure, or up to one year with your consent. If you are hired, your personal data becomes part of your personnel file.

4. With whom do we share your data?
We do not share your data with third parties unless necessary, legally required, or with your consent. Third parties must handle the data confidentially.

  • with suppliers
  • courts and government authorities

      – required by law
      – with your consent
      – to protect Printforce’s rights and property and prevent fraud
      – to ensure the safety of our employees, service users, and third parties

We do not transfer data outside the European Economic Area unless adequate protection is guaranteed.

We have implemented appropriate technical and organizational measures to protect your personal data, including:

  • Confidentiality obligations for all persons with access to your data
  • Employee awareness on data protection
  • Username and password policies across all systems
  • Pseudonymization and encryption where appropriate
  • Regular backups of personal data
  • Secure SFTP server and MyPrintforce portal for submitting personal data
  • Regular testing and evaluation of our security measures

6. What privacy rights do you have?
You have the right to access, correct, or delete your personal data. You may object to processing, request data transfer to yourself or another party, and withdraw consent at any time.

We may request identification before fulfilling such requests.

If you have a complaint, please contact us directly. If unresolved, you may file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
